Importing Leads & Migration
Bring your existing lists into MailMoo and move over from another outbound tool.
If you already have lists, you do not need to rebuild them. MailMoo imports CSVs and maps your columns onto its own lead fields, so whatever you exported from your previous tool is usually enough to get started.
Importing a CSV
Go to Get Leads and upload your file.
During import you map each column in your file to a MailMoo field. A few things worth knowing:
- Email and name fields are what sequencing and personalization depend on. Map these first.
- Columns you do not map are not lost. They can be kept as custom fields on the lead and referenced later in your messages.
- Duplicates are matched on the lead's email address. Re-importing an updated file updates the existing records rather than creating second copies.
Clean the file before uploading rather than after. Removing obviously dead rows up front costs nothing; enriching them costs credits.
What to export from your current tool
Most outbound platforms will export something close to this, and it is all MailMoo needs:
| Field | Why it matters |
|---|---|
| First and last name | Personalization and greetings |
| Email address | Sending, and the key used for de-duplication |
| Company name | Personalization and enrichment matching |
| Job title | Filtering and message relevance |
| Company domain | Improves enrichment accuracy |
| Any custom notes | Can be kept as custom fields |
Anything missing can be filled in afterwards with enrichment. See Lead data.
Migrating an active campaign
Moving mid-campaign needs a little care, because two tools sending to the same person is worse than a short gap.
- Stop the sequence in your old tool first. Pause it before importing anywhere, not after.
- Export contacts along with their status. You want to know who has already been contacted and who has replied.
- Import in two lists. Keep never-contacted leads separate from already-contacted ones, because they need different opening messages.
- Rebuild the sequence in MailMoo rather than trying to mirror the old one step for step. See Sequences.
- Connect your sending accounts and let them warm up before pushing full volume through them.
Do not point a fresh sending account at your entire migrated list on day one. A new account sending thousands of messages immediately is the fastest way to land in spam. Start small and let the limits rise.
After the import
Leads land in your workspace ready to enrich, score, and sequence. If your file was thin, add an AI column or two so your messages have something specific to work with. Lead data covers how.
