Workspace
The container for your leads, campaigns and content, the people who can see it, and the sender profiles it sends from.
A workspace holds everything: leads, campaigns, sales content, sender profiles and conversations. It is also the boundary for who can see that work and what it is billed against.
Manage it from Workspace settings.
Members and roles
People are members of a workspace, with one of three roles:
| Role | Can do |
|---|---|
| Owner | Everything, including transferring ownership |
| Admin | Invite people, change the subscription, create API keys |
| Member | Work inside the workspace: leads, campaigns, content, the inbox |
The split that matters is between working in the workspace and changing what the workspace is. A member can run outbound all day; only owners and admins can add someone to the team or move the plan.
Sender profiles
A sender profile is the persona a message appears to come from. It is not the same thing as a MailMoo user, and keeping the two apart is what lets one operator run outbound on behalf of several people.
A sender profile brings together:
- A name, which is who the recipient sees.
- A connected account, being the mailbox or social account messages actually go out through.
- A voice, optionally cloned, used when generating personalized audio and video.
- Context used when drafting on that persona's behalf.
Manage them from Sender Profiles.
Why they are separate from users
The person who builds a campaign is often not the person it should appear to come from. Because the persona is its own record, it survives the operator changing, and one person can run campaigns for a whole team.
How they are assigned
Sender profiles are assigned to a campaign, and each lead in that campaign is allotted one. That allotment is stable: a lead keeps the same sender across the whole sequence, so a follow-up comes from whoever sent the opener.
Spreading a campaign across several sender profiles raises total volume while keeping each account inside its own limits. That is the safe way to scale, and it is covered in Sequences.
Connected accounts
The connection itself is made in settings, and one connected account backs one sender profile. Disconnecting it stops that profile from sending; the profile and its history remain, so reconnecting picks up where it left off.
A disconnected account fails silently from the campaign's point of view: steps that should have gone out simply do not. If a campaign goes quiet, check the sender profile's connection before looking at the sequence.
More than one workspace
You can belong to several and switch between them in the app. They share nothing: separate leads, separate campaigns, separate billing, separate API keys. Agencies commonly run one per client for exactly that reason.
Billing and API keys
Both belong to the workspace rather than to a person:
- The subscription, its credit allowance and its invoices are the workspace's. See Billing.
- An API key is issued inside one workspace and can only ever reach that workspace's data. See API keys.
This is why a person leaving does not take the subscription with them, and why a key from one workspace cannot read another's leads even when the same person belongs to both.
